Terms of rental
Read these before you book. They cover insurance, late fees, and liability — the parts that protect you and the car. By paying the deposit you accept everything below.
01 · Insurance
Coverage & responsibility
- Renters must carry active, full-coverage auto insurance that extends to rental vehicles. We verify your policy before key handoff — have your carrier name and policy number ready.
- bestcarrentals does not provide primary insurance. Your personal policy is first in line for any damage, theft, or loss while the car is in your possession.
- Optional supplemental collision damage waiver (CDW) is available at the counter for $25/day and lowers your out-of-pocket exposure to a $1,000 deductible. Decline it only if you are sure your policy covers high-value rentals.
- Proof of insurance is required at pickup. No proof, no keys — and your deposit is refunded less a $50 processing fee.
02 · Late fees
Return the car on time
- The return time printed on your confirmation is firm. Late returns are billed at $50 per hour, prorated by the minute, up to a maximum of one full extra rental day.
- More than 2 hours late without notice forfeits the 30% deposit and the car is reported as not returned. Call or text 254·383·9951 before your return window if you are running behind.
- If we can't reach you for 4 hours past the return time, the vehicle is reported stolen to Killeen PD and Austin-area law enforcement.
- Early returns are welcome but are not refunded — the car was held out of the fleet for your full window.
03 · Liability
Who pays for what
- The renter is fully responsible for the vehicle from key handoff to key return. This includes damage, theft, vandalism, towing, impound, and traffic or toll citations issued during the rental period.
- You are liable for the full replacement value of the vehicle (up to its market value) regardless of your insurance coverage limits. We pursue recovery for any gap between your policy payout and actual loss.
- Interior damage — burns, stains, pet damage, torn upholstery — is billed at repair cost plus a $150 detailing fee. Smoking or vaping in any car voids the rental and carries a $500 cleaning charge.
- The car may not be used for track days, racing, off-roading, instruction, or rideshare/hire to third parties. Any such use makes you liable for all damage and voids all coverage options.
- bestcarrentals is not liable for lost or stolen personal items left in the vehicle, or for delays caused by mechanical failure, weather, or events beyond our control.
04 · Payment & deposit
Holds, balances, refunds
- A 30% deposit is charged to your card at booking to hold the car. The remaining balance is due in full at key handoff by cash or card.
- Cancellations 48 hours or more before pickup are fully refunded. Inside 48 hours the deposit is non-refundable — the car was held off the market for you.
- A separate $500 security hold is placed on your card at pickup and released within 5 business days of return if the car comes back clean and undamaged.
